Policy set 01

Education policies

For Academy enrollment and private lessons. Your confirmation supplies the schedule, fee and other specific terms.

Enrollment, placement and transfers

Students may join after the semester begins when space and placement allow; tuition is prorated for the classes remaining. Enrollment may move to another suitable class or campus, or to another student once we receive updated guardian and intake information.

Missed Academy classes

With advance notice, one missed class may receive a one-class refund. Unannounced absences receive no refund or credit.

Cancellations

Contact us in advance to cancel a semester; we will confirm any refund or credit in writing. Other refund requests are reviewed individually. If Toronto Chess Club cancels a class, we will arrange a makeup, extend the schedule or communicate another remedy.

Private lessons

Give the instructor as much notice as possible to reschedule. Missed lessons and late cancellations are not refundable unless a different arrangement was confirmed in writing.

Learning environment

Students and guardians must act respectfully and follow reasonable instructor, safety and venue directions. We may adjust or end participation when conduct materially disrupts learning or creates a safety concern, with any financial outcome confirmed in writing.

Tournament policies

For Toronto Chess Club tournaments. The event listing supplies the format, schedule, eligibility and other specific terms.

Event terms and registration

The event listing sets the date, venue, sections, eligibility, time control, schedule, fee, capacity, rating status, prizes and tie-breaks. Register with the player’s correct information and required federation ID. Published deadlines and capacity limits apply; late entry requires organizer approval.

Refunds and transfers

For regular-season Youth Circuit events, a full refund or transfer is available until 10:00 AM the day before the event; afterward, the entry is locked. Other events follow their listing. If Toronto Chess Club cancels, we will transfer or refund the entry.

Arrival, byes and withdrawal

Clocks may start at the scheduled round time, and the applicable forfeit rule applies. Tell the arbiter before pairings are made if a player needs a bye or must leave. Changes may not be possible after pairings are published.

Play, rulings and fair play

Games follow the announced rules and arbiter instructions. Players may not use outside advice, notes or electronic chess information. Ask the arbiter about a live game; report suspected fair-play concerns privately.

Spectators and conduct

Spectators may not interfere with games or enter restricted areas without permission. Everyone must follow organizer, arbiter and venue directions and must not harass, threaten or materially disrupt others. Penalties may include removal from the playing area or event.

Pairings, results and prizes

Report errors before the next round is paired whenever possible. Official standings are those posted or announced by the tournament team. Ratings are administered by the relevant federation; prizes and qualification use the final standings and published tie-breaks.

Questions and disagreements

A clear path to resolution.

Raise urgent issues in the moment. Put unresolved administrative or service concerns in writing.

During a tournament

Call the arbiter during the game. Report pairing or result errors immediately. A later review cannot always reconstruct a position or undo subsequent pairings.

    Start with the right person

    For instruction, contact the instructor or club. For a live tournament issue, call the arbiter.

    Send unresolved concerns in writing

    Include the participant, program or event, date, relevant facts, prior ruling or communication, and the outcome requested.

    We review and respond

    We review the applicable terms, policies, chess rules and records, then reply in writing. When practical, someone other than the original decision-maker will review the concern.

Policy updates

The date at the top identifies the current version. Material registration and refund terms in effect at purchase continue to apply unless a later change is more favourable.
